Canadian teams paying vendors abroad should look at Plooto. Multi-entity finance teams should shortlist Sage Intacct or NetSuite. Skip Odoo unless you want a full ERP, not just bill pay.

Which accounts payable software is right for you?

Find the line that sounds like your business, then open that tool’s card above.

  • One person pays the bills, and you’re on Xero: pick Xero (Growing plan, so bills are unlimited).
  • On QuickBooks Online with 1 to 5 users: stay with QuickBooks Online. Need approvals? Compare QuickBooks Online Advanced with BILL Team.
  • 3 to 20 people, approvals slipping, bills getting lost: pick BILL (Team or Corporate).
  • Bookkeeper or accountant running many clients, or paying vendors in Canada or abroad: pick Plooto.
  • Freelancer or agency that mostly invoices: pick FreshBooks Premium.
  • US owner-run business, tight budget, a handful of vendors: pick Patriot Accounting.
  • Purchases need sign-off before the invoice arrives: pick Procurify.
  • Several entities, audit trails and a finance lead: pick Sage Intacct. Choose NetSuite if you also want inventory and a full ERP.
  • Want one system for books, inventory and sales: pick Odoo, and budget for setup.
  • Staff expense claims are the bulk of the work: pick webexpenses. At larger scale, shortlist SAP Concur or Emburse Chrome River Expense.
  • Large team already on QuickBooks Desktop: pick QuickBooks Desktop Enterprise, and price the renewal first.

How to choose accounts payable software

Pick on your bill volume, approval rules and accounting system first. Price comes after that. Here’s the order we’d work in.

  1. Count your bills and your people. How many bills do you pay each month, and who touches them? Per-user tools like BILL get pricey if five approvers need seats.
  2. Name your worst pain. Late payments, duplicate payments, lost invoices, slow sign-off or a 1099 scramble each point to different tools. The table below maps them.
  3. Check what it connects to. Look for two-way sync with your books, and find out which plan includes it. BILL, for example, holds its sync back until Team.
  4. Add up the true cost. Seats, per-payment fees, add-ons and setup. The pricing section below has a worked example.
  5. Run a real test. Push 10 of your actual invoices from inbox to approval to payment before you sign.

Which pain points does each tool solve?

Pain point What to look for Tools in our catalog that cover it
Late payments and missed discounts Scheduled payments and due-date reminders BILL, Plooto, Xero
Slow approvals Approval rules by amount and role BILL (Team and up), QuickBooks Online Advanced, Plooto (Grow and up)
Manual data entry Invoice capture and auto-coding Plooto Capture, Xero Smart Document Capture, BILL AI bill coding, FreshBooks Premium
1099 scramble W-9 collection and 1099 forms BILL, Xero, Patriot Accounting, QuickBooks Online Advanced
Paying abroad Cross-border payments and FX handling Plooto, Xero (Established), BILL
Weak audit trail User roles and controls on bank-detail changes Plooto Pro, BILL Enterprise, Sage Intacct

Red flags in demos

  • The rep uses clean sample invoices. Ask to see your messiest vendor invoice instead.
  • “Approvals” means one approver. Ask for a two-step rule that triggers above a dollar amount.
  • Sync is “available” but no one names the plan that includes it.
  • Payment fees get skipped. Ask for the full fee sheet in writing.
  • No one can say what happens when a vendor’s bank details change. That’s how payment fraud works.
  • The renewal price isn’t in the quote.

How much does accounts payable software cost?

For tools with public prices, expect $27 to $89 a month per user or per business, plus payment fees. Quote-only tools (Sage Intacct, NetSuite, Procurify, SAP Concur, Emburse Chrome River Expense) usually cost thousands a year. Prices below are US list prices checked in October 2026.

Tool Plans and monthly price Billing Add-ons and fees to watch
BILL Essentials $49, Team $65, Corporate $89 per user Per user per month. Confirm annual vs monthly in your quote $0.59 per ACH, $1.99 per check, 2.9% on card payments, $2.99 per 1099 e-filed
Xero Early $27, Growing $59, Established $97 per business Monthly, auto-renews. No per-user fees Auto-reconcile $5 (Early). Fees on non-ACH payments
QuickBooks Online Simple Start $38, Essentials $85, Plus $140, Advanced $340 Monthly. 1, 3, 5 and 25 users by plan $0.50 per ACH beyond your allotment
Plooto Go $9, Grow from $32, Pro from $99 Monthly $0.50 per EFT or ACH, $10 cross-border, 2.9% pay by card, $6 cheque on Grow
FreshBooks Premium $70 (first tier with AP), Select custom Monthly at list. Yearly adds a discount $11 per extra team member
Patriot Accounting Basic $20, Premium $30 Monthly. 30 days free, then 50% off 3 months Optional 1099 e-filing fees
Odoo Standard about $24.90 per user, billed yearly About $31 per user if billed monthly Setup and integration work

What does it cost in year one? A worked example

Say a 10-person business has 3 people handling bills and pays 150 vendors a month by ACH. These are list prices with no promos, for the four highest-scoring tools with public pricing.

Tool and plan Software Payment fees First-year total
BILL Team (3 users) $2,340 $1,062 $3,402
Xero Growing $708 $0 for domestic ACH $708
QuickBooks Online Essentials $1,020 $0 to $900, depending on your free allotment $1,020 to $1,920
Plooto Grow $384 $900 $1,284

Xero and QuickBooks look cheap here, and they are. But the savings only hold if their approval controls match what you need. BILL costs more because approvals, bill coding and vendor onboarding are the product.

Hidden costs to ask about

  • Migration. Cleaning up your vendor list and collecting W-9s takes real hours.
  • Setup and training. Sage Intacct rollouts run 3 to 6 months. One partner expects $1.00 to $1.50 of services per $1.00 of subscription.
  • Integration fees. Third-party guides put NetSuite integrations at $8,000 to $20,000 each, and Odoo integrations at $3,000 to $20,000.
  • Minimum seats and contracts. SAP Concur and Procurify typically sell annual contracts.
  • Payment fees. BILL charges $19.99 for an international USD wire. Plooto charges for paper cheques.
  • Renewal increases. QuickBooks raised Online prices at renewals from August 1, 2026, and Desktop prices on February 1, 2026.

Is accounts payable software worth the money?

Yes, if people use it and it gives them hours back. Say 3 staff each save 3 hours a week at $40 an hour. That’s $360 a week, or about $18,720 a year. Set against the roughly $3,400 BILL Team costs in our worked example, you’d keep about $15,300. That’s an illustration, not a promise. If nobody actually uses the tool, it costs you money anyway.

Vendor claims run higher. BILL says customers spent 50% less time on AP, based on its own 2021 survey of more than 2,000 customers. Treat numbers like that as a ceiling.

What usually goes wrong

  • Slow adoption. Approvers keep replying to emails with PDFs. Pick a date when email approvals stop.
  • Messy data migration. Duplicate vendors and missing W-9s follow you into the new system. Clean the vendor list first.
  • Paying for features nobody turns on. Procurement, extra modules and unused apps add up. Review what’s active at 90 days.
  • A sync that isn’t on your plan. Confirm that the accounting connection you need is included before you pay.
  • Surprise payment fees. Wires, cheques and card payments often cost extra. Model them using your real volume.

Real-world scenarios: what each choice looks like in practice

These three are illustrative. They show how the tools fit typical situations. They aren’t case studies of named customers.

A 6-person agency moving off spreadsheets

The owner tracks bills in a sheet and pays them from the bank site. She picks Xero Growing at $59 a month. First, she connects the bank feed and imports her vendor list. Then she forwards bills to Xero and pays by free domestic ACH. In 60 days the sheet is gone, and every bill has a due date she can see in one list. Her trade-off: simple approvals only.

A 15-person services firm with slow approvals

Bills sit in three inboxes, and partners approve by reply email. The firm picks BILL Team at $65 per user. It starts with one shared bill inbox and a two-step approval rule above a set amount. Next, it turns on the QuickBooks Online sync. After 60 days, the goal is no email approvals and no bill without an approver’s name on it. The cost: every approver is a paid seat.

A bookkeeping firm paying clients’ vendors across Canada and the US

The firm manages 12 clients and wants one place to approve and send payments. It picks Plooto, which gives accountants waived or discounted subscriptions once clients link to the firm’s account. It sets approval rules per client and connects each client’s Xero or QuickBooks file. In 60 days, payments run from one dashboard. The catch: it won’t do purchase orders or invoice matching.

How we scored these accounts payable tools

  • Pricing clarity (15%): published prices, fee transparency, surprise costs.
  • Value for small teams (15%): what a 5 to 20 person business gets for the money.

What we tested and what we didn’t

These scores are editorial judgments built from vendor pricing pages, vendor documentation and published user reviews. We haven’t run hands-on tests for this update, so no listing carries a “Hands-on tested” label. BILL, Xero, QuickBooks Online, Plooto, FreshBooks and Patriot Accounting are marked “Vendor docs” because we read their own pricing pages in October 2026. The rest are marked “User reviews” or “third-party pricing guides” because they don’t publish prices. We couldn’t open Odoo’s own pricing page, so its figures come from third-party sources.

  • ERP Software: choose this if AP is one piece of a bigger need, such as inventory, manufacturing or multiple subsidiaries.
  • Project Management: choose this if late bills are really a workflow and deadline problem.

Accounts payable software FAQ

What is accounts payable software?

It’s software that manages the bills your business owes, from the moment an invoice arrives to payment and bookkeeping. Good tools capture invoice details, send bills to the right approver, schedule payment by ACH, check or card, and sync everything to your books. It replaces email threads and spreadsheets with one trail.

Which accounts payable software is best for a small business?

BILL is our top pick for most small businesses where several people touch bills. If one person pays bills and you already use Xero or QuickBooks Online, start with that tool’s built-in bill pay. It’s cheaper, and you won’t learn a new system. Move to BILL when approvals start slipping.

Which is best for accountants and bookkeepers?

Plooto and BILL are the two to compare. Plooto waives or discounts a firm’s subscription once clients link to it, and it handles Canadian and cross-border payments well. BILL offers an Accountant Console at $49 a month and a reseller program, so it suits firms that want one platform for many clients.

Which is the best budget option?

Patriot Accounting, at $20 a month list price, if you’re a US business with simple needs. It handles unlimited vendors and payments. Xero’s $27 Early plan is close, but it caps you at 5 bills a month. Neither offers approval workflows on its pricing page.

How much does accounts payable software cost?

For small businesses, expect about $20 to $340 a month at list prices, plus payment fees. BILL costs $49 to $89 per user. Xero starts at $27 per business. Quote-only systems like NetSuite and Sage Intacct cost thousands a year once setup is included, so budget for implementation too.

Can accounts payable software replace my accounting software?

Usually not. BILL and Plooto sit on top of your books and sync with Xero or QuickBooks Online. Xero, QuickBooks, FreshBooks and Patriot are accounting tools that include bill pay. Odoo, NetSuite and Sage Intacct are full systems that can replace both. Pick based on whether you want to keep your current books.

Do I need dedicated accounts payable software at all?

Not if one person pays a few bills a month. Your accounting software already covers that. You’ll want a dedicated tool once bills pass through several people, approvals stall, or you spend real time chasing invoices. At that point, the cost is easy to justify with saved hours.
